HR Assistant   (44250-5)

Employment Requirements:
1-3 years Payroll experience preferred
English - Native Level, Japanese or Chinese language skills preferred

Position Summary:
The Human Resources Assistant is responsible for the administrative support of human resource operations for the West Region branches. The Human Resources Assistant will directly assist the HR Manager and Team Leader with a wide range of HR related job functions including payroll, recruitment, compliance, onboarding/orientation and office management. This position interacts with all levels of employees at NEU. Administration function: 30%, HR, Payroll and Accounting function: 70%

Major Duties and Responsibilities:
Assist Human Resources and Administration for basic assistance and clerical filing.
Maintain employee personnel files and the HR filing system.
Complete Form I-9 for new hires, verify I-9 documentation and maintain I-9 files current.
Submit requests for pre-employment screenings.
Assist Payroll Team Leader for payroll / HR related tasks: file worker’s compensation claims, complete and mail EDD (Employment Development Department) forms, sort and file payroll related documents.
Process HR related paperwork. Keep track of HR applications and background checks.
Assist bi-weekly and monthly payroll by following our company policies and procedures.
Perform HRIS data entry. Actively oversee employees ‘time/attendance for preparation of by-weekly payrolls.
Keep track of temporary and recruiting agency agreements; renew agreements when necessary.
Send out training reminders for quarterly required trainings.
Manage the HR bulletin boards, make sure all the postings are up to date and organized.
Search for candidates on job websites and schedule interviews with potential candidates.
Conduct the branch’s Fixed Assets inventory and prepare for Fixed Assets related purchases, leases and generate related reports.
Communicate with Head Office in regards to Fixed Assistant ship administrative related issues.
Prepare various vendors ‘invoices for payment.
Take an inventory of the branch’s office supplies and purchase necessary items.
Respond to repair/ maintenance needs for the branch’s office equipment (copiers, printers, scanners, cell/landline phones and data cards, etc.).
Update branch information lists; such as Vehicle List, PC List, Office Seating Chart, Extension Directory, Employee Contact List, etc.
Compare dealer quotes and make vehicle purchases. Keep track of registration/insurance status / renewals.
File insurance claims for company vehicles.
Represent West Region Administration in the bimonthly Safety Committee Meeting; take on Safety related projects.
Help organize the branch functions such as BBQ and year end party.
Other assignments given by Supervisor or Manager depending on the needs of the department.

Requirements, Education and Experience:
Ability to multi-task and handle quickly changing priorities.
Must be a team player.
Strong interpersonal and negotiation skills.
Excellent comprehension to instruction and on-the-job training.
Ability to communicate clearly and professionally, both verbally and in writing.
Excellent problem-solving ability.
Must be able to work efficiently under pressure in a fast-paced environment.
Integrity in maintaining confidential Information.
AA or equivalent experience preferred.
Computer proficiency (Windows, MS Word, Excel and PowerPoint)
Have a professional and pleasant, accommodating demeanor.
Proficient keyboard operation. Typing –40 wpm or better.
Must be able to work overtime.
Ability to lift up to 30 lbs.
Ability to work under stress and fast pace work environment.
Local travel to other worksites maybe required depending on the needs of the department.
