Temp Assistant  (44247-6 )

General Position Summary
Responsible for receipt of accurate documents for aerospace materials such as packing slip, certificate of conformance, test reports and labeling against purchase order. In addition, this position provides export and activities complying to regulations including Export license internal control and Shipper’s Declaration for Dangerous Goods.

Essential Job Functions
● Logs in receiving notes from freight forwarders.
● Contacts vendors to find out delivery schedule.
● Receives shipping documents from vendors as PDF file. Reviews packing slip and documents for quantity, part number, due date and other details.
● When order is chemical material, checks shelf life, date of manufacture, date of expiration, lot number.
● When order is hazardous material, checks Material Safety Data Sheet and examines class and division of hazardous material which is regulated by IATA (International Air Transport Association) regulation.
● Determines UN number(or ID number of Proper Shipping Name/description of the hazardous material).
● Examine whether the order requires export license or no license required.
● Creates discrepancy reports and return notes when necessary.
● Communicates directly with vendors, freight forwarders and customers to perform above tasks.
● Coordinates return of materials due to incorrect quantity, damages or short shelf life.
● Maintains organized documents for filing and submitting for invoicing as needed.
● Receives invoices from vendors to check purchase price, amount, and freight charge and other charges.
● Responsible for international and domestic receiving and shipping.
● Enters data into system to perform above tasks.

● Arranges shipping coordination based on customer shipping instructions.
● Determines inland freight charges for prepaid freight and other charges.
● Handles special shipping issues when needed.
● Prepares Shipper’s Declaration for Dangerous Good for hazardous shipments.
● Creates and posts sales invoices. Creates credit invoices as needed.
● Provides invoices and air/ocean waybills in PDF file to customers by email.
● Receives invoices from freight forwarders, checks information before submitting to management to approval.
● Negotiates shipping rates as needed. Provides estimate rate to customers when needed.
● Coordinates Export license and determines requirement and internal control.
● Enters data into system to perform above tasks.

● Provides weekly inventory report to customers.
● Performs monthly inventory check based on freight forwarder information.
● Performs special projects and other miscellaneous duties as assigned by managers.
● Trains temporary employees when needed.
● Maintains high ethical standards in the work place.
● Reports all irregular issues and problems to supervisors for solution.
● Maintains good communication with managers, office staff members and outside contacts.
● Complies with all company policies and procedures. Complies with government regulation on trade.
● Responsible for maintaining a clean and safe working area.

Education & Work Experience -
● Associate’s Degree equivalent from two-year college or technical school; or equivalent combination of education and related experience.
● One or more years of previous experience that includes order processing.

Tools & Equipment -
● General office equipment including phones, fax, copier, personal computer, scanner, etc
● Software includes the use of Windows operating system, MS Office, familiarity with Axapta enterprise resource planning system and related modules.

Certificates / Licenses -
● Certification of Dangerous Goods Regulations (Preferred)
