The Contracts & Business Administrative Assistant is responsible for performing a variety of duties from general administrative tasks to front desk customer service. The Administrative Assistant often is responsible for running sales reports, completing payment slips for invoice processing and the processing and balancing of credit card transaction at store level. S/he must be detail oriented and good with numbers.
• Opens and distributes department mail.
• Maintains safe and clean reception area by complying with procedures, rules, and regulations.
• Assists Manager and Administrator in research of corporate office equipment, supplies and potential vendors.
• Tracks corporate and store leases for renewals. Presents leases to Manager for his review and follow-up.
• Drafts Store Operations and Corporate procedures under the direction of Manager.
• Drafts correspondence and memos for Manager and Administrator.
• Orders and tracks corporate office supplies.
• Sources best prices as needed for Contracts & Business Manager and Administrator
• Runs errands as needed (i.e. to the post office, etc.)
• Works shifts, or days as assigned by Manager in accordance with the Company’s business needs.
• Must be able to do light lifting, stooping, bending and climbing.
• Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
• Maintains good communication with store management, associates, vendors and outside contacts.
• Other tasks as assigned by Manager or Administrator.
• Maintains high ethical standards in the work place.
• Reports all irregular issues and problems to the Department Manager for solutions.
• Complies and maintains confidentiality of all company policies and procedures.
Customer Relations:
• Interacts with guests in a courteous and professional manner.
• Helps solve problems that affect the store’s efficiency, service and productivity.
Safety, Loss Prevention and Procedural Compliance:
• Assists Manager and Administrator in Loss Prevention in curbing internal and external theft.
• Ensures satisfactory maintenance, appearance and condition of assigned areas to comply with security, safety and environmental codes and ordinances.
• Complies with all Health and OSHA requirements.
