Purchasing Assistant  (43747-6)

General Position Summary
This position is responsible for supporting the Company’s purchasing and inventory control activities. Job duties include monitoring inventory, receiving materials, reviewing the production requests related to inventory, and performing physical inventory audits, obtaining price quotations for materials, and creating the production report with the Production Department.


Essential Job Functions

Inventory Control
• Support for the Manager/Senior Purchaser’s activity to control xxxx’s raw material inventory, maintaining minimum reorder level, suggesting purchasing schedule according to shipping and production schedule
• Conducts physical inventory on scheduled bases and inputs the correct data into the system
• Works with Manager/Senior Purchaser on inventory and production needs
• Inputs daily internal usage and finished goods in the system
• Creates the material preparation sheet based on the production requests
• Performs receiving of raw materials, checking the quality and quantity received, as well as reporting and input of the actual number in the system

Purchasing
• Assists the Manager/Senior Purchaser’s purchasing activity
• Monitors and confirms that all purchased materials, supplies, equipment and services are fulfilled by suppliers and providers on time without any delays
• Promptly reports any potential incidents related to delivery delays, slow responses from suppliers/providers, quality of products and services as well as any sudden changes of their business to managers and management whenever such symptoms are noticed
• Negotiates with vendors on pricing, transportation cost, lead time, packaging regarding all raw materials, production supplies, etc., under Manager/Senior Purchaser’s supervision
• Creates purchase orders while checking for accuracy

Quality Control
• Assists to ensure proper production control planning and schedule
• Performs quality control on received materials and supplies on scheduled basis

Other & Miscellaneous
• Seeks constant process improvement
• Performs special projects and other miscellaneous duties as assigned by managers
• Keeps abreast of current trends and practices in field of expertise
• Maintains high ethical standards in the work place
• Reports all irregular issues and problems to supervisors for solution
• Maintains good communication with other management, office staff members and outside contacts
• Complies with company policies and procedures
• Responsible for maintaining a clean and safe working area

Qualifications

Education & Work Experience
Degree from a 2-year college or its equivalent level of education, one to two years related experience and/or training; or equivalent combination of education and experience; Related experience of at least two years in purchasing and inventory control

Tools & Equipment
General office equipment including phones, personal computers, email, fax, etc.
Software includes the use of Windows operating system, MS Office and ACCPAC
Automobile
